HVCS Auction Fundraising Guidelines
Our annual auction is the most significant fundraiser for the school. This helps all families by providing important funds that would otherwise have to be raised by increased tuition. The auction also provides opportunities for families to receive credit toward their fundraising requirement. Please follow these guidelines
Basket item donations:
To generate the highest bids possible on each basket the auction committee will determine the number of baskets and define the contents of each.
- Parents wishing to donate toward a basket must choose a selection from the Basket Wish List which is posted in the school entrance and is available online.
- Parents wishing to donate a basket or item not on the wish list must first receive approval from the auction committee. Unapproved donations may not qualify for fundraising credit.
Fundraising credit:
Donations:
- The HVCS family who donates an item(s) will receive credit for the purchase price of the item(s). Receipts must be turned in with the donation.
- The HVCS family who donates an item(s) without a receipt will receive credit of 50% of the winning bid amount.
○ NOTE: personal services and hand-made items often go for less than fair market value.
- The name of the donor MUST be on the donation form at the time it is submitted. If the name is not that of an HVCS family no credit will be given.
- Fundraising credits are NOT transferable either between HVCS families or from a non-HVCS family to an HVCS family.
- Late donations will NOT receive credit.
- Families who acquire corporate gifts will receive 50% of the selling price of gifts. Time spent acquiring corporate items does not count toward service or auction hours unless the family waives the 50% fundraising credit amount.
- No credit is given for corporate sponsorships or advertising.
- Fundraising credit is not given for the purchase of auction admission tickets.
Buyer’s Incentive
- As an incentive for HVCS families to bid on items at the auction, they will receive fundraising credit equal to 20% of the total amount of auction purchases. No fundraising credit will be given for either scholarship donations or the purchase of tickets for the raffles conducted at the auction.
Host Family Incentive
- As an incentive to invite relatives and friends to the auction, HVCS families will receive fundraising credit equal to 10% of the total amount of such guests’ purchases at the auction. The guests’ names MUST appear on the host family’s RSVP card at the time it is submitted. No fundraising credit will be given for either scholarship donations or the purchase of tickets for the raffles conducted at the auction.
The auction committee is the final decision-maker for all matters regarding the auction and can be reached at
